How do I get access to a site?

Access to a site is by invitation only, usually as part of an innovation program. A Solution Administrator invites you by email address and assigns your role. If you do not have an account, the invitation email has two links: the first creates your account with a password, and the second accepts membership in the site. If you already have an account, the email has one link, which accepts the invitation.

How do I get back to my site?

Bookmark your site after your first visit and use the bookmark to return. You can also click My Sites in the top menu of gaits.org, or open the User Profile Menu under your profile picture at the upper right of any GAITS page and select My Sites. Both list every site you belong to.

I did not receive my invitation. What should I do?

Check your spam or junk folder first. The invitation goes to the exact address the administrator entered, so confirm that address with the person who invited you. The administrator sees outstanding invitations on the Members page and can invite you again. If it still does not arrive, write to admin@gaits.org.

How do I reset my password?

On the sign-in page, click Forgot Password. Enter your email address, type the characters shown in the image under Text Verification, and click Next. GAITS emails a code to that address. Enter the code and set a new password. Then sign in with the new password and enter your multi-factor authentication code.

I cannot sign in, and resetting my password does not work.

Accounts that are not used for six months are deactivated under the security policy. GAITS does not show a message when this happens. Another member of your site can confirm it: the Members tab shows an Inactive badge beside your name. Write to admin@gaits.org to reactivate your account. Your data and your site memberships are kept.

What can each role do on a site?

Your role sets what you can do. On a Solution Site, a Solution Viewer can read only. A GAITS Solution Team Member can read and write to most features. A Solution Administrator can also add members and custom Deliverables. A Solution Mentor has administrator access plus the Mentor tab. Portfolio roles apply to every Solution Site in the Portfolio.

Why can I not edit anything on this site?

You most likely have a read-only role, either Solution Viewer or Portfolio Viewer. Your role is shown beside your name on the Members tab. If it should be changed, ask a Solution Administrator on the site.

Who can see my site's data?

Members of your site see it, within the rights of their roles. Members of the Portfolio your site is assigned to also see it, according to their Portfolio role. Site Members of the Portfolio Site do not. Content on the Mentor tab is limited to mentors and Portfolio roles. GAITS platform administrators can access site data to support and maintain the platform. Each has signed a confidentiality agreement. Can I export all of my site's data?

Yes, in two separate downloads. First, Download CSV on the Overview page exports the site's records as a ZIP file of nine CSV files. The export ignores any filter you have set. The files link to each other by id, and they open in Excel. Second, the advanced view of the Files tab downloads all uploaded documents as a separate ZIP file. See Can I download all of my files? Can I download all of my files?

Yes. On the Files tab, click Switch to advanced view. In the Documents and Media list, select the checkbox at the top to select every folder and file, then click Download. GAITS downloads everything as one ZIP file named after the site. Folders and their contents are kept. Mentors and Portfolio roles also receive the Mentor Files folder. Other roles do not.

Is there a limit on file size?

Yes. Each file can be up to 5 MB, wherever it is uploaded: the Files tab, a Deliverable, a Work Package, or a Meeting Record. There is no limit on the number of files or on folder size.

Is there a limit to the number of team members?

No. There is no limit on the number of members and no charge per member. We encourage you to involve every team member. Each Deliverable and each Work Package names a Responsible Person, and the Activities tab records who changed what.

Solution Sites

Where do I start on a new Solution Site?

The Overview page opens by default. Click a maturity level name to open the maturity level view, which lists that level's Deliverables by name. Click a Deliverable name to read what it asks for and to record its status. You can also open a Deliverable by clicking its segment on the carousel. How do I update the status of a Deliverable?

There are three ways. On the Overview page, open a Deliverable, select a value under Status in the Tracking section, and click Save. On the maturity level view, click the status icon beside the Deliverable and select a value. On the Work Package page, click the Deliverable's percent complete bar and select a value in the Status menu. The last two save as soon as you select. On the maturity level view and the Work Package page, you can also click the Deliverable's name to open it and change the status in the editor.

What is the difference between a Deliverable and a Work Package?

A Deliverable describes one of the pieces of work required at the intersection of a maturity level and a domain. It is one segment of the carousel. A Work Package groups Deliverables into a unit of work over time, with its own dates, budget, funding fields, and status. A Deliverable belongs to one Work Package at a time. A Work Package often matches one funded phase of work, such as a phase of a grant or a proposal. Its Deliverables can come from one domain, from one maturity level, or from a mix of both.

How do I create a Work Package?

Open the Work Pkgs tab and click Add Work Package. Name, Budget, Start Date, and Duration (Months) are required. Budget can be 0. Add a Responsible Person, and the Funding Organization, Funding Program Name, and Reference Number if they apply. Set its status to Planning, Submitted, or Active. Teams often skip this step. Change it to Completed when the work is done. In the same editor, assign Deliverables: click them on the carousel, or use the grid icon and select them in the table. A Deliverable you select that belongs to another Work Package moves to this one. To change the assignments later, click the gear on the Work Package page. You can also assign a Deliverable in the Deliverable editor, in its Work Package field.

How do I add someone to my team?

A Solution Administrator or Solution Mentor can invite new members on the Members page, one at a time, by email address and role. The invitee creates an account and then accepts membership. To add a mentor, ask a Portfolio Administrator or Portfolio Manager.

How do I capture a meeting?

You can record meetings with mentors, advisors, stakeholders and others. Open the Meetings tab and click Add Meeting Record. Session Name / Topic and Date are required. Rate the session under Impact, from one to five stars, based on how impactful it was overall. Complete as many of the other fields as you can, then click Save Meeting Record. Complete records make the meeting history useful to your team and your mentors, and they are included in the site exports.

How do I export a meeting record?

On the Meeting Records page, click the three-dot icon at the right of the record. Select Export PDF for a single PDF of the record with its attachments appended. Select Download for a ZIP file of the meeting details and its attachments.

How do I show how our project has progressed over time?

Use Playback on the Overview page. Click the play button to replay the carousel from the earliest recorded date, or drag the slider to any date in between. Playback uses the dates in each Deliverable's Status History, so back fill earlier work first.

How do I show the progress of a Work Package?

Open the Work Package page. Its carousel shows only the Deliverables in that Work Package, with two bars below it: percent complete and time elapsed. Click the play button to replay progress from the earliest recorded date, or drag the slider to any date. The carousel and both bars change with the date.

How do I record progress made before we used GAITS?

Open the Deliverable. In the Tracking section, click the clock icon beside Status to open the Status History. Click Add to record a past status with the date and the status that was reached, or change the date of an existing entry. GAITS sorts the entries from earliest to latest. Playback uses these dates.

Can I add a Deliverable that is not in the standard set?

Yes. Solution Administrators and mentors add a custom Deliverable from the maturity level view with the Add Requirement link. The software says Requirement where this guide says Deliverable. A custom Deliverable carries a Custom Requirement badge and has no Resources. It belongs to one site and cannot be copied to another.

What if a standard Deliverable does not apply to my project?

Open the Deliverable, select the Not Applicable checkbox below its name, and click Save or Save and Back. The Deliverable is grayed out on the carousel and is left out of percent complete.

Where are the files I attach to Deliverables and Work Packages kept?

Each Deliverable and each Work Package has two file areas, Planning and Tracking. Add files to them in the Deliverable editor or on the Work Package page. The Files tab shows the same files in two system folders. Deliverable Files holds a folder for each Deliverable, and a second folder marked (Planning). Work Package Files holds a folder for each Work Package, with Planning and Tracking inside. You cannot delete these folders or the files in them from the Files tab. Remove a file where it was added.

Where do I keep my own documents and files?

Use the Files tab. Create your own folders, and upload each file with a description and tags so others can find it with the tag filter. The Files tab also shows the system folders for Deliverable and Work Package files. Evidence for a specific Deliverable belongs in the Tracking area of that Deliverable.

What does the Mentor tab show, and who can see it?

The Mentor tab is the mentors' workspace. It holds Mentor Resources, with Mentor Files and a Message Board, and a SWOT Analysis with Strengths, Weaknesses, Opportunities, and Threats. Solution Mentors see the tab, as does every Portfolio role, including Portfolio Viewers. GAITS Solution Team Members, Solution Administrators, and Solution Viewers do not. Mentors should write with the Portfolio Viewers in mind.

I mentor several teams. How do I reach them all?

One sign-in covers every site you belong to. Select My Sites in the top menu of gaits.org or in the User Profile Menu to see them all. If your program added you to its Portfolio Site, the Portfolio tab also lists your teams, with their progress.

Portfolio Sites

How do I create a new Solution Site in my portfolio?

Only a Portfolio Manager can create a Solution Site. On the Portfolio Site, open the Admin tab and use the form on the left. Enter a Name and a Description, select the Project Type, which lists the Solution Types, and click Create. The description appears in the site header line. Then open the new site, go to its Members tab, and invite the first member, usually the principal investigator as Solution Administrator. They can then invite the team members.

Can I change a site's Solution Type after it is created?

No. Each Solution Type has its own set of Deliverables, so the type is fixed when the site is created. To use a different type, a Portfolio Manager deletes the site and creates a new one with the right Project Type. Data does not carry over between sites, so choose the type before the team starts work. If data has been entered, export it first. See Can I export all of my site's data?

How do I add a mentor to a team's site?

Only Portfolio Administrators and Portfolio Managers can add a mentor to a Solution Site. A Solution Administrator cannot. Open the Solution Site, go to its Members tab, and invite the mentor with the Solution Mentor role. Do not use the Invite Member form on the Portfolio Site Admin tab. It invites people to the Portfolio Site, not to the Solution Site.

How do I see every Work Package across the portfolio?

Open the WP Listing tab on the Portfolio Site. It lists all the Work Packages of every Solution Site in the Portfolio. The list opens showing Active Work Packages only, and Filters Active appears while a filter is set. Use the Filters panel to narrow or widen the list by portfolio, Solution Type, or tag, and by Work Package status, performance, or Responsible Person. Click clear to remove all filters. Click View Simple Table, then sort by Days to Due Date to see what is coming up; a negative number means the due date has passed. Relative Progress is % Complete divided by % Elapsed; 100% or more means the Work Package is on or ahead of schedule.

Do metrics add up across the Portfolio?

Not on screen. On the Portfolio tab, click Download CSV. The ZIP file has a Metrics folder with one CSV file per metric, covering every site in the Portfolio. Open the files in a spreadsheet to total them.

Can our Portfolio Site have different features?

Yes. A Portfolio Manager can ask for tabs to be added or removed by writing to admin@gaits.org. Solution Sites have a fixed set of tabs.
